1. Data Controller Identification

This Privacy Policy applies to personal data processed by Poorvam, its publishing division Dhvani Publication, and the Poorvam International Journal of Creative Arts and Cultural Expressions (PIJCACE, ISSN: 3107-6866, DOI: 10.63752/pijcace), acting as the Data Controller under Regulation (EU) 2016/679 (General Data Protection Regulation) and relevant international data protection enactments.

2. Personal Information We Collect

In our capacity as an academic think tank and scholarly publisher, we collect information strictly necessary for academic review, credentialing, and scholarly dissemination:

Scholar & Author Profiles: Full name, institutional affiliation, department, academic email address, biographical summary, country of residence, and verified ORCID iD.
Manuscript & Peer Review Materials: Original submitted drafts, revisions, peer review referee reports, editorial decision letters, author response memos, and conflict-of-interest disclosures.
Academic Conference & Seminar Registrations: Attendee name, affiliated university, attendance logs, certificate issuance verification tokens, and seminar feedback.
Billing & Transaction Details: For book purchases, Article Processing Charges (APCs), or paid symposia, payment processors (e.g., Razorpay, Stripe) securely process payments. Poorvam stores only the non-sensitive order ID, transaction status, tax receipt, and payment amount; we never store complete debit/credit card numbers or CVVs.
Technical Telemetry: Anonymized/truncated IP addresses, browser user agent, referring URLs, and session telemetry used strictly to verify security and measure aggregated download counts.

3. Legal Bases for Data Processing (GDPR Article 6)

We process personal information under the following lawful bases recognized by international law:

Contractual Performance (Art. 6(1)(b))

Necessary to fulfill publication agreements, coordinate peer reviews, deliver customer book orders, and issue accredited certificates.

Legitimate Interests (Art. 6(1)(f))

Maintaining publication integrity, screening submissions for plagiarism via Crossref Similarity Check, and securing digital infrastructure.

Consent (Art. 6(1)(a))

For voluntary newsletter dispatches, non-essential analytics cookies, and custom reading interface preferences. Consent can be revoked at any time.

Legal Obligation (Art. 6(1)(c))

Maintaining tax, financial, invoicing, and statutory audit records mandated by applicable government authorities.

4. Academic Permanence & Archival Exemption (GDPR Article 17(3)(d))

Special Scientific & Historical Research Exemption:

In accordance with international standards established by the Committee on Publication Ethics (COPE), Crossref, and the International Committee of Medical Journal Editors (ICMJE), once an academic paper has completed peer review and is formally published with an assigned Digital Object Identifier (DOI), it becomes a permanent part of the scholarly and scientific record.

Under GDPR Article 17(3)(d), the "Right to Erasure" does not apply where data processing is necessary for archiving purposes in the public interest, scientific or historical research purposes, or statistical purposes. Published author names, ORCIDs, and institutional affiliations associated with published works cannot be retroactively purged. Any formal dispute regarding published work is resolved exclusively via COPE-compliant corrigenda, addenda, or formal retraction notices.

5. Your Data Protection Rights

Under the GDPR (Articles 15–22), the California Consumer Privacy Act (CCPA), and India's DPDP Act, you possess the following rights regarding your personal information:

Right of Access (Art. 15): You have the right to obtain confirmation as to whether your personal data is being processed, and to receive a copy of your personal data held in our repository.
Right to Rectification (Art. 16): You may request correction of inaccurate scholar biographical details, email addresses, or affiliated institution records.
Right to Erasure / "Right to be Forgotten" (Art. 17): You may request the deletion of user accounts and unpublished manuscript drafts, subject to the scholarly archiving exemptions noted in Section 4.
Right to Restriction of Processing (Art. 18): You may request the restriction of data processing while a dispute regarding accuracy or lawfulness is evaluated.
Right to Data Portability (Art. 20): You may request your personal submission history and account records in a structured, commonly used, and machine-readable format (JSON/CSV).
Right to Object (Art. 21): You may object at any time to receiving academic newsletters, call-for-papers broadcasts, or non-essential communications.
Right to Withdraw Consent (Art. 7(3)): You may withdraw your consent for optional cookies or marketing communications at any time without affecting the lawfulness of processing based on consent prior to withdrawal.

Poorvam implements a strict tiered consent framework. Non-essential cookies (such as analytics and functional preference cookies) are never loaded without your prior affirmative opt-in consent. 7. Data Security Safeguards

Poorvam maintains industry-standard technical and organizational security measures to protect personal data against accidental loss, unauthorized access, destruction, or disclosure:
• Encryption: Enforced TLS 1.3 encryption across all public, submission, and administrative domains.
• Credential Hashing: Passwords stored strictly using modern Bcrypt key-derivation algorithms with high work factors.
• Application Defense: Cross-Site Request Forgery (CSRF) tokens, parameterized PDO SQL queries, and role-based administrative authentication.
• Editorial Confidentiality: All manuscripts under review are treated as strictly confidential privileged documents accessible only to assigned peer referees and section editors under non-disclosure obligations.

8. International Data Transfers

Because Poorvam serves an international scholarly community, your data may be transferred to and maintained on secure servers located outside of your state, province, or country. When transferring personal data originating from the European Economic Area (EEA), we implement Standard Contractual Clauses (SCCs) approved by the European Commission to ensure an adequate level of protection.
