Poorvam International Journal of Creative Arts and Cultural Expressions (PIJCACE) recognizes that artificial intelligence (AI) tools are increasingly integrated into academic research and writing processes. While these technologies can offer valuable assistance, they must be used ethically and transparently to preserve the integrity of scholarly work. This policy provides clear guidance on the acceptable and unacceptable uses of AI in manuscript preparation and submission.

1. Policy Overview and Principles

This policy is designed to balance the legitimate use of AI tools as research aids with the fundamental requirement that all published work represents original human scholarship. The policy is guided by the following core principles:

  • Academic Integrity: All manuscripts must reflect genuine scholarly thinking, analysis, and argumentation developed by human authors.
  • Transparency: Authors must fully disclose any AI tool usage in manuscript preparation.
  • Authorship Authenticity: AI tools cannot be listed as authors, and their output cannot substitute for original human intellectual contribution.
  • Responsibility: Authors remain fully responsible for all content in their manuscripts, regardless of the tools used in preparation.
  • Quality Standards: The use of AI tools must not compromise the scholarly rigor, originality, or quality of submitted work.
Key Principle: AI tools may assist in the research and writing process, but they cannot replace the critical thinking, original analysis, and scholarly judgment that form the foundation of academic work. All submissions must demonstrate authentic human intellectual contribution.

2. Acceptable Uses of AI Tools

The following uses of AI tools are permitted, provided they are properly disclosed in the manuscript acknowledgments or methods section:

Language Editing

Using AI-powered tools (e.g., Grammarly, QuillBot in paraphrasing mode) to check grammar, spelling, punctuation, and sentence structure. However, the core ideas and argumentation must remain the author's own.

Translation Assistance

Using AI translation tools to assist with translating text from one language to another, provided translations are verified for accuracy and the original ideas are the author's.

Data Analysis

Using AI tools for statistical analysis, pattern recognition, or data visualization, provided the interpretation and conclusions are drawn by the researcher.

Literature Search

Using AI-powered search engines or research tools to identify relevant literature and sources, provided authors critically evaluate and synthesize the findings independently.

Coding and Technical Tasks

Using AI assistants for programming, data processing scripts, or technical implementation, provided the research design and interpretation remain the author's intellectual work.

Formatting Assistance

Using AI tools to help format citations, references, tables, or figures according to style guidelines (MLA, APA, etc.).

Important Note: Even when using AI tools for these acceptable purposes, authors must:
  • Verify the accuracy of all AI-generated or AI-assisted content
  • Ensure that AI use does not compromise the originality of the work
  • Disclose the specific tools used and their purpose
  • Take full responsibility for any errors or inaccuracies

3. Prohibited Uses of AI Tools

The following uses of AI tools are strictly prohibited and will result in manuscript rejection and potential sanctions:

Content Generation

Using AI tools (ChatGPT, Claude, Bard, etc.) to generate substantial portions of the manuscript text, including abstracts, literature reviews, analysis, or conclusions.

Creative Work Generation

Using AI to generate poetry, fiction, artwork, or other creative content submitted as the author's original work.

Data Fabrication

Using AI to generate fake research data, fabricate findings, or create fictional case studies presented as authentic.

Image Manipulation

Using AI to create, alter, or enhance images in ways that misrepresent research findings or artistic work (except for clearly disclosed and ethically appropriate image processing).

Citation Generation

Using AI to generate fake citations, references, or bibliographic entries for sources that do not exist or were not consulted.

Undisclosed AI Use

Failing to disclose any significant use of AI tools in manuscript preparation, even if the use might otherwise be acceptable.

Critical Distinction: AI tools may help refine or improve human-authored text, but they cannot be the primary source of intellectual content, argumentation, or creative expression. If a manuscript's core ideas, structure, or analysis could be attributed primarily to AI rather than human scholarship, it violates this policy.

4. Mandatory Disclosure Requirements

What Must Be Disclosed

Authors must disclose:

  • The specific AI tools used (name and version when applicable)
  • The purpose for which each tool was used
  • The extent of AI involvement in manuscript preparation
  • Any limitations or potential biases introduced by AI use

Where to Disclose

AI tool usage must be disclosed in one or more of the following locations:
  • Cover Letter: Brief mention during submission
  • Acknowledgments Section: Detailed disclosure in the manuscript
  • Methods Section: For research articles where AI was used in data analysis or methodology
  • Author Commentary: For creative works, disclosure in the accompanying critical commentary

Failure to Disclose: Undisclosed AI use, even for acceptable purposes, is considered a violation of this policy and may result in manuscript rejection. When in doubt, disclose.

5. AI Detection Methods

PIJCACE employs multiple methods to detect AI-generated content and ensure compliance with this policy:

Automated Detection Tools

  • AI Content Detectors: Submissions are screened using advanced AI detection software that analyzes text patterns, linguistic markers, and stylistic features associated with AI-generated content.
  • Similarity Checking: Integration with plagiarism detection tools that flag content matching known AI-generated text databases.
  • Cross-Referencing: Verification of citations and references to identify AI-generated or non-existent sources.

Editorial Review

  • Qualitative Assessment: Editors and peer reviewers evaluate manuscripts for indicators of AI generation, including inconsistent writing style, lack of depth in analysis, or generic argumentation.
  • Author Expertise Alignment: Assessment of whether the manuscript demonstrates appropriate domain knowledge and expertise expected from the listed authors.
  • Reference Verification: Spot-checking of cited sources to ensure they exist and are accurately represented.

Flagged Submissions

If AI content is suspected, the editorial office may:
  • Request additional information or clarification from authors
  • Ask authors to provide evidence of original research and writing (notes, drafts, data sources)
  • Subject the manuscript to enhanced peer review
  • Reject the manuscript if violations are confirmed
Detection Accuracy: While no detection method is perfect, PIJCACE uses a combination of technological and human assessment to identify AI misuse. Authors should not assume that AI-generated content will go undetected.

6. Consequences of Policy Violations

Violations of this AI Usage Policy are treated as serious breaches of academic integrity. Consequences are applied based on the severity and intent of the violation:

First Violation (Minor)

For undisclosed but acceptable AI use (e.g., language editing without disclosure):

  • Manuscript returned for revision with required disclosure statement
  • Warning letter issued to author(s)
  • Re-evaluation after proper disclosure

Serious Violations

For prohibited AI use (e.g., substantial AI-generated content, fake data or citations):

  • Immediate manuscript rejection
  • Notification to author's institution (if applicable)
  • Temporary ban from submitting to PIJCACE (minimum 2 years)
  • Reporting to academic integrity organizations (e.g., Committee on Publication Ethics - COPE)
  • Public retraction if violation discovered after publication

Repeat Violations

For authors with previous violations:

  • Permanent ban from publishing in PIJCACE
  • Notification to relevant academic networks and databases
  • Formal ethics complaint filed with author's institution
Right to Appeal: Authors may appeal decisions regarding AI policy violations by providing evidence and explanation to the Editor-in-Chief within 30 days of notification. All appeals are reviewed by the editorial board.

7. Reporting AI Misuse

PIJCACE is committed to maintaining the integrity of published scholarship. If you suspect that a submitted or published manuscript violates this AI Usage Policy, we encourage you to report it.

What Happens After Reporting

  • All reports are treated confidentially and reviewed by the editorial office
  • Reports are investigated thoroughly using detection tools and expert review
  • Reporters' identities are protected unless disclosure is legally required
  • Authors are given opportunity to respond to allegations
  • Appropriate action is taken based on investigation findings

Protection Against Retaliation

PIJCACE prohibits retaliation against individuals who report suspected AI policy violations in good faith. Any retaliation should be reported immediately to the Editor-in-Chief.
